Customers experience timing as one continuous wait, while internal teams may see several separate steps. The published expectation should account for the whole path.

Map each interval

Identify the time from order receipt to evaluation, from evaluation to approval, from approval to provider processing, and from processing to customer notification. Include non-business days and peak periods where relevant.

Define pending and delayed states

A customer should know whether the order is still under review, whether action is needed, and when to contact support. Internal monitoring should distinguish expected waiting from an actual failure.

Measure timing by cohort

Report median and tail timing by campaign and decision state rather than one overall average. Investigate delays that cluster around particular Shopify order conditions or handoffs.
