PROGRAM DESIGN / ORDER CHANGES

Explain the purchase change and the incentive outcome separately

A refund concerns the original purchase. An incentive concerns a promotional benefit. A return can affect qualification, but the result depends on the offer and applicable card-program terms.

Prepare the common order-change questions

The customer should not discover the treatment for the first time after a Shopify return. Agree the explanation in advance.

SituationQuestion the terms must resolve
Order canceledDoes any qualifying purchase remain?
Part of the order returnedDo the remaining items still meet the offer conditions?
Product exchangedHow does the replacement purchase relate to eligibility?
Incentive already receivedWhich program-specific terms and responsible parties apply?

Do not invent a universal reversal rule

Order status and card status are separate. Avoid promising that a card will always be canceled, reclaimed, or retained after a refund. Customer-facing answers must follow the actual offer and program, not assumptions drawn from a category label.

Make support ownership clear

The Shopify merchant should explain the order and promotion question. Card-specific concerns should reach the responsible card support route. A coherent handoff tells the customer what is being reviewed instead of making them repeat the entire story.

MAKE THE BRIEF SPECIFIC

Plan the Shopify incentive around a real customer action.
